Solar Filing Representative
Location: NYC/Remote
Compensation: 50,000 - $75,000
Type: Contract to Full-Time
Job Purpose
As a Solar Filing Representative, the individual will manage various tasks and projects covering all aspects of running a growing company. This role will assist the CEO, and occasionally the Leadership team, to make the best use of their time by providing personal and administrative support in a well-organized and timely manner. To properly execute this role, you should have a detailed understanding of G-Suite, be extremely fast at problem-solving, and preferably have experience as an Executive Assistant or Administrative Assistant.
The individual is also the customer service specialist who will oversee a portfolio of services related to each project. you will be responsible for following up with AHJs, utility companies, contractors, and Sologistics team members to ensure service deadlines are met. You will also be one of the primary contacts for Client communication and are required to have excellent communication skills, hold a client-facing position for project updates, and take the initiative, and complete jobs under timelines needed in a remote working environment.
The balance between these roles’ responsibilities will vary according to company requirements, with initial expectations of approximately 50/50 allocation. These expectations will be revisited periodically to ensure the best use of capabilities, interests, and needs is satisfied.
Solar Administrator Responsibilities
Open, sort, distribute and respond to the incoming postage
Read and sort C Suite emails (as necessary)
Draft emails and correspondence on behalf of the CEO
Prepare reports, memos, invoice letters, minutes, and other documents
Answer C Suite’s phones and route calls and take messages
File and retrieve corporate records, documents, and reports
Stay abreast of insurance policy renewal dates and other important milestones (in collaboration with HR Specialist)
Help C Suite prepare for meetings (data research and compilation, calendar reminders, time-management, confirmation calls, etc.)
Proofread outbound correspondence
Read and analyze incoming memos, submissions, and distribute them as needed
Make travel arrangements for Executives as necessary
Perform office management duties as necessary (replenishing supplies etc)
Provide general administrative support to C Suite and Delivery team
Handle basic bookkeeping tasks (petty cash) in coordination with Finance & Accounting Dept.
Screen phone calls, inquiries and requests, and resolve them when appropriate
Organize and maintain calendars and set appointments
Ad hoc tasks that may be assigned by C Suite
Project Coordinator Responsibilities
Establish and maintain client relationships as a primary point of contact
Schedule, host, and document Client status update meetings
Liaise with clients for updates on current projects and request materials or documentation as needed
Properly identify new project requirements and oversee service progression within Sologistics’ project management system
Provide quality assurance of data entered into Sologistics’ Salesforce environment on the intake of a new project
Ensure that new projects are advanced for intake review within the SLA
Understand the correspondence process with NYC Authorities Having Jurisdiction (AHJs) to ensure the smooth implementation and inspection of solar projects
Identify and resolve internal and external obstacles causing a delay of delivery
Handle migration of select documents to the company storage drive upon project completion and/or cancellation
Host, schedule, and attend team meetings at least once weekly
Ad hoc tasks that the Operations Manager may assign

Qualifications and Experience
At least 2 years of experience within the solar industry, NYC preferred
1 year of experience as a NYC DOB Filing Rep
Proven track record of a practical approach to project management
Strong knowledge and experience with Google Suite and PDF applications
Previous experience with Salesforce CRM preferred
Required Education: High school diploma
Reports to
The Solar Filing Representative reports to the Operations Manager
Eligibility
Candidates must be legally authorized to work in the US at the time of application.
Start Date
Ideally, the post holder will commence as soon as possible after the interview process.
